Preview & Export

Preview shows the outline as a document for copying, exporting, and printing.

The outline stays editable while Preview shows the assembled document.

Open Preview

  • Choose Preview from the … menu at the upper right of the editor, or press Cmd+Shift+E
  • To preview one row and its descendants, open the row's context menu and choose Preview

On Mac, Preview opens beside the outline; on iPhone and iPad, it fills the screen. On iPhone and iPad, a row's context menu opens it as a sheet.

Review the document, change its format, copy it, or export it.

Choose a format

Choose a format from the menu on the left of the Preview toolbar.

  • Markdown (.md)
  • Rich Text (.rtfd): formatted text and images for word processors and rich-text editors
  • TextBundle (.textbundle): Markdown and attached assets in a portable folder
  • Plain Text (.txt)
  • OPML (.opml): a standard outline interchange format

Use the icon beside it to switch between Preview and Source. Markdown, TextBundle, and OPML support both; Rich Text uses Preview and Plain Text uses Source.

Copy, export, and print

Choose a format, then copy or save it. On macOS, use the toolbar; on iPhone and iPad, use … in full-screen Preview or the toolbar buttons in the row sheet. TextBundle is file-only.

Use the right-side menu to print or change format-specific options:

  • Print: print the document
  • Layout: choose Normal or Outline as Headings
  • Include Notes: include notes
  • Sync Scrolling: sync the outline and Preview
  • Markdown Warnings: show Markdown/TextBundle hierarchy warnings

Use Find in Document to search the Preview.

What is included

  • Preview from … reflects the current zoom and filters; without either, it shows the entire outline
  • Row context menu Preview shows that row and its descendants

Collapsed rows are included; supported formats include attachments.

Keep the document structure

When Headings (Beta) is enabled in Settings > Beta, rows starting with # become Markdown headings. Levels follow heading ancestors; regular rows remain list items.

When Headings (Beta) is enabled, all formats omit rows beginning with % (including a row containing only %) but keep descendants. Comment Out Branch applies % to every row; OPML also omits % rows.

Copy As

On macOS, use Copy As to copy selected rows without opening Preview.

  • Right-click the selected rows or use Edit > Copy As

Choose Rich Text, Markdown, Plain Text, or OPML.

On iPhone and iPad, choose a format, then use … in full-screen Preview or the toolbar button in the row sheet to copy.

Print the outline on macOS

Press Cmd+P or choose File > Print to print the outline as shown: search results, a zoomed section, or the entire outline. Turn on Expand Collapsed Rows to include collapsed content.

Import OPML

Import OPML from other outliners. On Mac, choose File > Import OPML...; on iPhone or iPad, choose Settings > Data > Import & Export > Import OPML.... Completion state from Workflowy and Dynalist is preserved.

Importing 1,000 or more rows turns off iCloud sync automatically. See Data Storage and Sync.
